Unit 25

Identify and explain the issues organisations must consider when planning computer system maintenance.

Issues

There are many issues that organisations will have to deal with such as emergencies and where the fire exits are, so they would have to plan out ideas and have data flow diagrams ready. There are some laws that organisations need to follow such as the copyright law, computer misuse and the data protection act. These all most be followed without any exceptions otherwise there would be some serious consequences.

There are many different issues which organisations need to consider when carrying out system maintenance.

Sustainability and environmental issues reporting- make sure that recycling materials after they are used and cannot be used again. Make sure that any materials or devices that don't need to be bin are used again without having to buy new ones.

Documentation and problem escalation procedures- When documenting you would need to make sure that all of your folders have the right naming because this makes it easier to find out what you want. Also make sure that you are saving your documents onto different devices so that you have it saved in more than one place. Reports can be used as documentation such as making a report that the staff would need to carry out. Reports can also be used for storing information and evidence.

Employees and employer responsibilities- Make sure that health and safety procedures are carried out such as not drinking or eating around the computer. Also maintaining the server so that there is no faults and if so they can fix it.

Health and safety

Health and safety is very important in every workplace and a lot of companies will take it very seriously and give you a test on how to stay safe in the workplace. One of the most important things that you need to make sure of is that you keep your workplace tidy so that there are no hazards such as wires, Sharpe objects and just keeping the workplace tidy.

With any plug sockets you will need to be careful of any drinks around it because there could be a electrical hazard. Organisations should also think about temperatures in the workplace because if it is getting to hot in the summer then they might need some better ventilation in the room. Over things like rugs need to be replaced if they are folding over because this could mean that someone might trip over it.

There should be tests to make sure that all equipment is working properly and that there is no faults with the equipment. Making sure that the chairs your employees are sitting on have good back support and are adjustable, because your employees might be sitting on them for long  periods of time.

Risks

Electrocution- electrocution is common when working with computers, it is most common when you are messing around the inside of the computer with all of the cables and hardware. A way to stop yourself from getting electrocuted is by wearing anti static gloves or a anti static mat. To minimise the chance of getting an electric shock when you are playing about with your computer you could make sure that it is turned off and unplugged from the mains. It is best to be safe when pulling apart your computer because if you are to get an electric shock then some hardware might be fried depending on with you got the shock from.

Tools- some tools can be particular sharp when using them especially a screw driver. You will need to be carful when handling some tools and the best way to prevent any injuries is by wearing the correct safety gear. Also when handling some tools you need to think how you are positioning them because you don't want them to be pointing towards you and then the tool to slip.

Water cooler- when using water cooling you need to be careful of leaking in the cooler because it could mean that the water could drop onto hardware and this might mean that the hardware stops working and it could also mean that electrocution could occur. water cooling could ruin your whole computer if there is a leak inside it because it could leak onto the hardware and cause it to malfunction.

Fire- When working with electronically equipment there can always be a fire hazard, the ways that a fire hazard could occur is by having a faulty wire and the wire sparking to catch alight. another way that a fire could be started is by the computer overheating, also a plug that isn't properly connected to the wall and has a loose connection.

Fan- if the fan is not spinning it could cause the computer to stop working because it has over heated, one of the reasons why the fan isn't spinning might be that a wire is covering the fan and stopping it from spinning.

Precautions

Precautions are another thing that needs to be recognised when working in an organisation with IT. This can be only allowing access to certain documents for certain people who you know can be trusted with the documents. Some precautions are to make sure that there is the right amount of security in the workplace, so the way that they do this is by installing CCTV cameras around the workplace. Using cameras make the workplace more secure and can catch any criminal actions.

If there is a new person joining the organisation they would have to go through a certain amount of precautions before starting the job such as learning what a what they shouldn't do while in the workplace. They would have to have training before starting the job just to get a feel of how the job is done. Training is also a good way to let the employee know all the health and safety risks in the workplace and anything else they might need to know.

P3- Types of planning techniques use in maintaining computer systems
Having a planning technique is very good because it means that your
Strategic and marketing plans
Tree graph
Milestone
Task graph
QAS chart
Gantt chart
What is a Gantt chart?

Gantt chart is commonly used in product management and is similar to a bar chart. This is one of the most popular and useful ways of organizing the way that you want things to be laid out in an organization. You would have a side which has task name in it and underneath that you would have a list of the main headings that you would be planning. A Gantt has a starting date from start to finish. A Gantt chart is created on a horizontal axis and is broken down into increments to split up the dates and the subjects.

Unit 25- P6 evaluate the performance of your pc and to perform upgrades to the hardware and software.

The first thing I did to upgrade my PC was that I went and brought windows 7 so that I could replace Ubuntu and will allow me to do different things that I need for my computer. After I installed windows 7 I decided that I would need some more RAM so what I did was I bought 6 RAMs and added it to my already 2 RAMS to make 8.
I also need to upgrade my graphics card in my PC but in order to do that I needed to upgrade the power supply in my PC so that it would have enough power in order to run the graphics card that I want.
